The AI Opportunity Checklist
Work through these 10 questions in about 20 minutes. Every "yes" is a place AI could save you time. The ones with the most "yes" answers are usually your best quick wins.
The checklist
- Missed calls and messages. Do customers reach voicemail or wait hours for a reply? An AI receptionist or chat assistant can answer, take details, and book appointments 24/7.
- Repetitive data entry. Does anyone retype information from one system into another? That's one of the easiest things to automate.
- Inbox overload. Is important mail buried under noise? AI triage can sort, prioritize, and draft replies for the routine stuff.
- Manual reports. Does someone spend hours each week pulling numbers into spreadsheets? Scheduled reporting can do it automatically.
- Slow lead follow-up. Do new enquiries wait more than an hour for a response? Automatic follow-up keeps leads warm.
- Inconsistent content. Is your blog, newsletter, or social feed neglected? AI drafting in your voice — with human review — keeps it moving.
- Document drudgery. Invoices, forms, contracts, receipts — if your team reads and retypes documents, AI can extract and route the data.
- Scheduling back-and-forth. Do bookings take three emails to confirm? Online booking with automatic reminders cuts no-shows too.
- Messy data. Are your spreadsheets a tangle nobody fully trusts? Cleanup plus a simple dashboard gives you answers you can rely on.
- Repeated questions. Do staff or customers ask the same things every week? A knowledge assistant trained on your documents answers instantly.
What to do with your answers
Count your "yes" answers. Start with the problem that wastes the most hours or loses the most customers — that's your quick win. You don't need to fix everything at once. One automation, working well, teaches you more than five half-finished ones.
And be honest with yourself: if a problem is really a people or process problem, fix that first. AI on top of a broken process just makes the mess faster.
